Requirements

Role Overview:

As an Executive Assistant in Sales, you’ll play a crucial role in enhancing the efficiency of our sales executives by taking charge of all low-touch sales pipeline tasks. By handling these responsibilities, you enable the sales team to concentrate on high-impact, relationship-building activities, such as face-to-face meetings and phone interactions. Your support will be instrumental in helping the team exceed their sales targets, aiming to close four additional deals by the end of 2024.

Your Impact:

Your efforts will directly contribute to expanding our client base, improving operational efficiency, and supporting the sales team in achieving their goals. By taking charge of administrative and pipeline tasks, you’ll help ensure that our sales executives can focus on what they do best—closing deals and building lasting relationships.

Key Responsibilities:

1. Sales Executive Agenda Preparation

  • Organize and prepare daily schedules, ensuring the sales executives are well-prepared for meetings and calls.

2. Inbox Management

  • Monitor and manage the sales executives’ inboxes to ensure timely responses and organization.

3. Administrative Support

  • Handle various administrative tasks to maintain smooth daily operations.

4. Pipeline Management

  • Review and complete tasks in Pipedrive to keep the sales pipeline updated and on track.

5. Pre-Inspection Tasks

  • Project Creation in CompanyCam: Set up new projects in CompanyCam.
  • Roof Measurement: Use Daft Logic to measure roofs and capture screenshots for documentation.
  • Data Upload: Upload measurements and screenshots into Acculinks for accurate record-keeping.

6. Metrics Gathering

  • Collect and compile weekly sales metrics.
  • Enter the gathered data into Bloom for reporting and analysis.

Requirements:

Must-Have:

  • Proven experience as an Executive Assistant in finance or sales; industry-specific experience is a plus.
  • Proficient in ACCULYNX for roofing sales and billing (training available if needed).
  • Experienced with Pipedrive for CRM, Google Chat, WhatsApp, and email communication tools.
  • Strong analytical and strategic thinking abilities.
  • Excellent organizational and planning skills with keen attention to detail.
  • Proactive, process-driven, and adaptable, with a strong focus on following through on commitments and meeting high standards.
  • Effective in written and oral communication, capable of motivating others, and working collaboratively within a team.

Nice-to-Have:

  • Experience working with remote teams.
  • Familiarity with EOS and Bloom for driving meetings and gathering metrics (training provided if necessary).
  • Bilingual proficiency in a second language.
